Trainee Privacy Policy

The Ship Safe Training Group Ltd (hereinafter referred to as SSTG) take the security of personal data very seriously and take all reasonable steps to prevent its disclosure to third parties, except as provided for under this policy.

SSTG is required to obtain certain personal details from Officer Cadets, as listed below as well as your full name and date of birth. This information is necessary to facilitate the selection of candidates and the management of training undertaken by successful applicants. We have systems and processes in place to ensure the accuracy of the data collected as far as is reasonable practical.

SSTG will confidentially destroy any information supplied by candidates who are unsuccessful in the selection process within one month of leaving the process.

For candidates who commence training under the auspices of the SSTG, information about the individual and the training they undertake is maintained on an internal secure Management Information System. Furthermore, SSTG take reasonable steps to ensure the security of the building where the servers are situated.

At periodic intervals throughout your training, you will be supplied with a computer printout of the information held about you. You will be required to check this for accuracy and advise SSTG of any changes to the data that may be required. Any such changes will be updated on our computer system within one month of the date they were supplied.

In order to manage your training effectively, you are required to update us of any changes to the following information. Any changes should be advised to us via the secure SSTG Cadet Training Portal:

  • Your home address.
  • Your contact telephone number and mobile number.
  • Your bank account details (only required where SSTG make payments to you as an integral element of your sponsorship).
  • Your next of Kin and all their contact details, including their home address, telephone number and e-mail address.
  • In order to facilitate your training, such information may be shared with:
    • the company sponsoring you, who may be located outside the EU.
    • The ships offices who will be overseeing your training on the vessels you are appointed to, which may be sailing worldwide.
    • The college you are enrolled at.
    • The Department for Transport and their agents who are responsible for the administration of grant funding which provides a measure of financial support that partly funds the training being undertaken.

Please note that SSTG is required to process restricted medical information on behalf of the Officer Cadets for the purpose of carrying out its obligations under employment and social security law. SSTG maintains the utmost security and confidentiality in respect of this information.

Under the current government funding rules SSTG is required to retain training records for a period of at least 7 years after the completion of Training. SSTG will delete the training records held 10 years after completion of your training in order to comply with its regulatory and legitimate business interests.

This policy may be updated from time to time.
